# Planning Center vs Ministry Scheduler Pro: what each one costs to text your volunteers

These two get compared because both end up holding the Sunday volunteer schedule, but they are not the same kind of software, and that settles more of the question than price does. Planning Center is a church operating system: a suite where People holds the database, Giving takes the offering, Check-Ins runs the children's desk, and **Services** does worship planning and volunteer scheduling — service order, song library with keys and chord charts, rehearsal audio, CCLI reporting, and the volunteer teams attached to each service time. Their [Services page](https://www.planningcenter.com/services) says over 78,000 churches use it. Ministry Scheduler Pro is narrower and deeper in one direction: a dedicated church volunteer scheduler from Rotunda Software, with an auto-scheduler that respects rotational patterns and family preferences, a Web Terminal where volunteers claim open positions and find their own substitutes, attendance tracking, and — on the Plus edition — a sign-in kiosk and ministry folders for churches running dozens of ministries.

So the first cut is not about money. If the thing a church cannot live without is the order of service and the song library, that is Planning Center, and nothing on this page changes it. If it is the kiosk, the ministry folders, and an auto-scheduler built around Sunday ministries, that is MSP. Planning Center does not run a kiosk. MSP does not plan a worship service.

Where the two genuinely converge is the part that decides whether the nursery team actually shows up on Sunday — the reminder — and that is where both of them start charging by the message. Every number below came off their own pages on August 18, 2026.

## Where each one hurts on volunteer texting

**Planning Center has two texting paths, and the free one is the one that quietly fails.** Services can send scheduling requests and reminders as texts through "a free email-to-text service called SMS gateway, which is only available through certain mobile carriers" — a volunteer's profile has to carry a mobile number *and* the correct carrier before anything sends. The sharper detail is in the same help article: "many carriers (such as Verizon and AT&T) have stopped supporting SMS gateway texts, making in-app notifications more reliable" ([help.planningcenter.com](https://help.planningcenter.com/en/142891-set-up-and-respond-to-text-notifications.html)). Verizon and AT&T are most of the American market. Their own recommendation is to stop relying on the free text path and use push notifications in the Services app instead, which works right up until the volunteer who has no app and no intention of installing one. A gateway text that never arrives does not bounce and does not warn anybody.

Their own texting overview table scores five products on whether they can send texts, receive replies, avoid carrier restrictions, and cost nothing. **Services is the only row in that table with no check mark under "No mobile carrier restrictions"** ([help.planningcenter.com](https://help.planningcenter.com/en/144875-texting-in-planning-center.html)). The product holding the volunteer schedule is the one whose texting is carrier-dependent.

**The deliverable path is a different product with a meter on it.** Real carrier texting runs through People: **$0.02 per credit**, plus a flat **$5 a month** for a toll-free number, with a credit card on file. The mobile carriers review the toll-free registration in three to five business days, the registration form wants the URL of an opt-in consent form, and the whole feature is US-only. A credit is "one text message of up to 160 standard characters to one recipient"; past 160 characters the message splits into two, with a 300-character hard ceiling, and emoji shrink the budget further ([help.planningcenter.com](https://help.planningcenter.com/en/139180-set-up-text-messaging.html)). Replies are not received — People texting is one-way ([help.planningcenter.com](https://help.planningcenter.com/en/144875-texting-in-planning-center.html)). Those People texts are composed by a person and sent to a list — pick a list, write the message, send it or schedule it. They are not generated from the Services volunteer schedule ([help.planningcenter.com](https://help.planningcenter.com/en/139182-send-a-text-to-a-list.html)). Services can still send scheduling texts automatically over the carrier gateway; what it cannot do is text volunteers automatically and reliably from one product.

Then the failure mode that matters most for reminders, in their words: "If your organization does not have sufficient SMS credits at the scheduled send time, the text is not sent, and the message creator receives an email notification" ([help.planningcenter.com](https://help.planningcenter.com/en/139182-send-a-text-to-a-list.html)). Auto-refill exists and is optional. If it is off and the balance runs low, Sunday's reminder does not go out and the only person who finds out is whoever wrote it.

Take a church with **40 volunteers** across nursery, ushers, AV, and coffee, each serving about twice a month, with two reminders per serve:

- 40 volunteers × 2 serves × 2 reminders = **160 texts a month**
- A reminder that says who, what, when, where, and who to text if you cannot make it runs past 160 characters, so it bills as **2 credits**
- 160 × 2 × $0.02 = **$6.40**, plus the **$5** number fee = **about $11.40 a month in texting alone**

That sits on top of Services, which is priced by "the total number of people who access the system in any way." The free tier stops at 5 team members; paid tiers are **$15** (20 members), **$32** (50), **$69** (150), **$115** (400), **$179** (1,000), and **$239** at the top of the ladder, from their [Services page](https://www.planningcenter.com/services) today. A 40-volunteer roster plus the staff who schedule them needs the 50-member tier, so **$32**. **Realistic all-in for scheduling and reliably texting 40 volunteers: about $43 a month, metered.**

The strongest evidence that the built-in texting leaves churches wanting is the add-on market that grew up around it. All three below sell the same job — get a text in front of a volunteer and hear a yes back — and all three were re-checked today:

**Ministry Scheduler Pro does the reminder better and then bills both directions.** Credit where it is due first, because it matters: MSP's reminders are native and they are real texts, not gateway texts. Their own feature description is "automatic email and text reminders sent a specified number of days or hours before each volunteer's scheduled dates," with volunteers able to change the number of days on their own email reminders, and replies to text reminders that can go straight to the coordinator's phone or be forwarded to everyone else scheduled ([ministryschedulerpro.com/plus-edition](https://ministryschedulerpro.com/plus-edition)). That is a scheduler that treats the reminder as part of the job. Texting is US and Canada only. That is on their [Plus Edition page](https://ministryschedulerpro.com/plus-edition). Texting is a prepaid balance: 100 free starter messages, then an email prompt when the balance drops to $5. The meter is the sore spot, and it is unusual. Their [pricing page](https://ministryschedulerpro.com/pricing) answers "Are there any additional costs?" with: "Optional SMS features are billed separately at **$0.02 per SMS message sent or received**." Sent *or received* is the part that surprises people. A reminder plus a YES reply is two charges, not one, so a confirm loop across a Sunday roster bills every confirmation twice — and the feature that forwards one volunteer's reply to everyone else scheduled bills again for each person it reaches.

At the same 40 volunteers, 160 outbound reminders a month is **$3.20** of SMS if every message fits inside 160 characters, **$6.40** if they run over, and MSP does not charge $5 for a number. Rotunda's [billing article](https://rotundasoftware.zendesk.com/hc/en-us/articles/217634457-How-does-billing-for-text-messaging-work) states that messages over 160 characters count as multiple messages. Every reply adds two cents, and that is the line nobody forecasts.

**The license is on top, and the smallest size they sell is 100 volunteers.** MSP's pricing page renders its prices from a control labeled "Show pricing for," in bands of 100 that run from up to 100 volunteers through up to 2,000. At the smallest band, the **Online edition is $50 a month and the Plus edition is $65 a month**, read off their [pricing page](https://ministryschedulerpro.com/pricing) on September 18, 2026. There is no 40-volunteer price, which is the part that matters here: a church with a nursery, ushers, and an AV team pays the same license as a church with a hundred people on the schedule. Their comparison page adds that "pricing is partially based on the number of administrators that need access to the program," so volunteer count is not the only input, and the card does not say whether that monthly figure is drafted monthly or paid up front — what is published is that the initial purchase is a six-month subscription carrying an unconditional money-back guarantee, after which it renews annually. SMS is extra on both editions. One warning for anyone price-shopping: do not borrow the figures published for **Volunteer Scheduler Pro**, which is MSP's sibling in the same Rotunda family and priced differently at the same band.

Two products, two different problems. Planning Center's is that the reliable path is a separate product with a meter and a monthly number fee, while the free path is the one whose own docs say it may not reach your volunteer. MSP's is that the meter runs in both directions and the license starts at a hundred-volunteer band however small the roster is.

Neither one prices the way a coordinator thinks — Planning Center by people who log in, MSP in bands of a hundred — so here is the same 40-volunteer roster, reminded twice per serve, priced across the realistic options:

Four footnotes, so that table is not read as more than it is. Both MSP rows are priced at their smallest band, because that is the only honest way to price 40 volunteers on a ladder that starts at 100 — the license does not get cheaper below a hundred people. Both Planning Center rows count the whole Services subscription, which is fair only for a church that would not otherwise be paying for it — a church already using Services for worship planning should read those rows as $11.40 and $20 of *additional* cost, not $43 and $52. Our own $3 and $9 are scheduled shift reminders for a rotation somebody else built, which is the right comparison for a weekly roster and the wrong one for mass texting. ## Who should stay where, and where we fit

**Stay on Planning Center** if Sunday runs on the worship plan. The song library, keys and chord charts, rehearsal audio, the order of service, CCLI reporting, and Services LIVE are why 78,000-plus churches are there, and none of it has a substitute in this comparison. Stay if the church wants one system holding the database, the giving, the children's check-in, and the app members already have on their phones, because the integration across those products is the actual product. Stay if the free tier still fits — the member database and reporting are free, and Services is free up to five team members. And stay if the texting problem is solvable by a $20-a-month add-on and you would rather buy one than move a roster; that is a reasonable answer, and the three add-ons above exist because plenty of churches reached it.

**Stay on Ministry Scheduler Pro** if it is already the Sunday ministry system of record and it works. Stay for attendance tracking on Online — print sign-in sheets, track no-shows and substitutes, run historical reports. Stay for the Plus sign-in kiosk if paperless check-in is the job, because replacing those sheets and then emailing the no-shows is genuinely hard to replace. Stay for ministry folders if the church runs dozens of ministries and needs to look at one department at a time, for group scheduling if a youth group or a Knights of Columbus council fills several roles at one service, for custom fields if certifications and training have to be tracked, and for leader-scoped access if ministry leaders should schedule their own people without seeing everyone else's. Stay for the Web Terminal, where a volunteer finds their own substitute instead of texting the coordinator at 10 p.m. And the six-month unconditional money-back guarantee on the initial purchase is the most generous term either vendor publishes — a real reason to try it properly rather than argue about the price.

**VolunteerReminder is the third option, and it is a much narrower one.** [Deluxe is $9 a month](/pricing): up to 60 volunteers, scheduled shift reminders, two texts per shift, sent as ordinary texts and emails to a roster that already exists. It is not a bulk-text plan and not a per-message credit pack. Where we are the wrong answer, stated as plainly as the two above. We do not build the worship plan — no song library, no chord charts, no order of service, no CCLI reporting. We do not run a kiosk and we do not track attendance. We have no ministry folders, no leader-scoped permissions, no custom fields, no enrollment forms, and no reports on certifications. We do not collect giving. And we are not the tool for texting the whole church directory at nine at night about a canceled service — that is a mass-texting product, and Clearstream or People credits is the honest answer for it. ### What is the real difference between Planning Center and Ministry Scheduler Pro?

Planning Center is a church operating system and Ministry Scheduler Pro is a volunteer scheduler. Services, the Planning Center product churches use for this, does worship planning as well as scheduling — service order, song library, chord charts, rehearsal audio — and sits in a suite with the member database, giving, and check-ins. MSP does one job in more depth: an auto-scheduler that respects rotational patterns and family preferences, a Web Terminal where volunteers claim positions and find their own substitutes, attendance tracking, and, on the Plus edition, a sign-in kiosk, ministry folders, group scheduling, and custom fields. Planning Center has no kiosk; MSP does not plan a service.

### Does Planning Center include free text reminders for volunteers?

Only over carrier email-to-text gateways, and their own help article now says "many carriers (such as Verizon and AT&T) have stopped supporting SMS gateway texts, making in-app notifications more reliable." The volunteer's profile also has to list the right mobile carrier. Their texting overview table scores five products on carrier restrictions, and Services is the only row with no check under "No mobile carrier restrictions." Deliverable texting is a separate metered product: People charges $0.02 per credit, one credit covers 160 characters, and a toll-free number costs $5 a month whatever the volume. A reminder detailed enough to be useful runs past 160 characters, so it bills as two credits.

### What does Ministry Scheduler Pro's "$0.02 per SMS sent or received" actually mean?

Every outbound reminder and every inbound reply is a billable message. A reminder plus a YES is two charges rather than one, so a reply-to-confirm loop across a Sunday roster bills both directions of every confirmation. MSP also lets a reply be forwarded to everyone else scheduled, which bills again for each recipient. SMS is extra on both the Online and Plus editions, on top of the license. Their reminders are real carrier texts rather than gateway texts, which is a genuine advantage over Planning Center's built-in path. Texting is a prepaid balance: 100 free starter messages, then an email prompt when the balance drops to $5 (https://rotundasoftware.zendesk.com/hc/en-us/articles/217634457-How-does-billing-for-text-messaging-work). ### Which is cheaper for a 40-volunteer roster?

Planning Center, narrowly, and both are metered. The 50-team-member Services tier is $32 a month and reminding 40 volunteers twice per serve is about $11.40 in credits and the number fee, so roughly $43 all in. Ministry Scheduler Pro's smallest license band is up to 100 volunteers at $50 a month for the Online edition or $65 for Plus, and 160 outbound reminders adds about $3.20 to $6.40, so about $53 to $56 or $68 to $71 — a 40-volunteer church pays the hundred-volunteer price because there is no smaller band. Every reply on MSP adds another two cents. For comparison, VolunteerReminder Deluxe is a flat $9 for scheduled shift reminders to up to 60 volunteers.

### Can a church keep Planning Center or MSP and still use VolunteerReminder?

Yes, and that is the normal outcome rather than a compromise. Planning Center or MSP stays the scheduler and the system of record — worship plans, kiosk, attendance, ministry folders, giving — and VolunteerReminder handles the reminders for the rotations where no-shows are the actual pain. Nothing has to be migrated or switched off, and volunteers do not install anything or log into anything.
