# Delete your account and data

Last updated October 14, 2026.

This page is how a coordinator or a volunteer asks **Tall Timbers Group LLC** to delete a VolunteerReminder account or the personal information we hold. No sign-in is required. The form emails [info@volunteerreminder.com](mailto:info@volunteerreminder.com). Sending it does not itself delete anything; a person reads it and does the deletion.

## If you coordinate an account

A coordinator created the VolunteerReminder account (on the website or in the Android or iOS app) and adds the volunteers and shifts.

**Close the account in the app.** Open VolunteerReminder, go to Settings → Delete account, and type the organization name. That runs immediately:

- Coordinators on that account are signed out, on every device. A super-admin login on the account is not closed and stays signed in, unless that super-admin is the person who pressed Delete.
- Reminders stop. The account is marked inactive, and the reminder job only sends for active accounts.
- The mobile number used to sign in is removed.
- An active paid subscription is cancelled. If that cancellation fails, the account is not closed.
- Every API key and connected assistant (ChatGPT, Claude, or another) loses access. The key and grant rows stay, revoked.

There is no delete-account button on the website dashboard. Closing the account does **not** wipe the roster. The account row stays, marked deleted, with the organization name, login email, timezone, and Stripe customer id. The roster, schedules, shifts, groups, reminder history, and sign-in events stay until you ask us to erase them. Consent records, the inbound text log, one-time opt-out notice markers, calendar invites, substitute-finder records, and the send-failure log stay after that erasure too. The full list is under **Kept after an erasure**.

**Ask us to erase what is left.** Erasure is handled manually by our team. It is not an instant button, and sending the form does not run it. Use the form on this page, or email [info@volunteerreminder.com](mailto:info@volunteerreminder.com) from the account's login email. Include the organization name and say that you want the account and roster erased. A person reads the request and runs the erasure by hand. That step deletes the account, its logins, the roster, and the schedules. It does not delete the rows listed under **Kept after an erasure**.

## If you are a volunteer

Volunteers do not create a VolunteerReminder account and do not install the app. A coordinator stores your name, email, and phone number on that organization's roster.

- Reply **STOP** to any reminder text to stop texts from VolunteerReminder right away. STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE and OPTOUT work too. Because every organization shares one number, STOP applies to VolunteerReminder as a whole. Reply **START** to turn texts back on.
- Email reminders are separate from STOP. Use the form, or email [info@volunteerreminder.com](mailto:info@volunteerreminder.com), and include the phone number or email the reminders use and the organization name if you know it. We will remove your contact details from the rosters we can match.
- The organization can also delete you from its roster. That marks your roster row deleted and stops future reminders to you. It does not wipe the row, and it does not delete older delivery records.

## What is deleted, and what we keep

**Closed in the app, right away**

- Coordinator sign-in stops, the sign-in mobile number is cleared, and future reminders stop. A super-admin login on the account stays signed in, unless that super-admin pressed Delete.
- API keys and connected assistants are revoked.
- A paid subscription is cancelled at Stripe. We do not delete the Stripe customer.

**Still in our database after that close**

- Organization name, login email, timezone, and Stripe customer id.
- Volunteer names, emails, phone numbers, notes, schedules, and shifts.
- The reminder send log. A daily job deletes a send record about 400 days after it was sent, and only once that shift is already in the past.
- Consent records: that a coordinator confirmed volunteers agreed to texts. The record stores the account, the date, how many mobiles were covered, and the sentence. It does not store each phone number. Closing the account does not delete these records, and neither does erasure.
- Sign-in events, which can include an IP address. Erasure does delete these.
- A log of texts we received: the phone number and how we classified the reply (for example STOP or YES). The message text is not stored. The log is not removed when an account is closed or erased. No expiry.
- A marker that an organization already sent a phone its one-time opt-out notice, so the notice is not sent twice. One row per organization and phone number. Closing the account does not remove it, and erasure does not either. No expiry.

**After our team erases an account**

Erasure is a manual step. A person on our team runs it after reading the request. It is not automatic.

- The account, its logins, the roster, and the schedules are deleted.
- Reminder records for that account are deleted with it. Any send record that is still there is removed by the daily job about 400 days after it was sent.
- Sign-in events for those logins are deleted.

**Kept after an erasure**

The manual erasure does not remove the rows below.

- **Text opt-outs.** A STOP is stored as the phone number and the keyword, with no expiry, including after the account is gone, so we keep honoring it.
- **Inbound text log.** The phone number and how the reply was classified (for example STOP or YES). The message text is not stored. No expiry.
- **One-time opt-out notice markers.** The organization and the phone number, so the notice is not sent twice. No expiry.
- **Consent records.** The account, the date, how many mobile numbers were covered, and the sentence. Not each phone number. No expiry.
- **Calendar invites and invite opt-outs.** The invite row stores the schedule, the volunteer, and a download token. The opt-out row stores that the volunteer stopped calendar emails for that organization. No email address or phone number is stored on those rows. No expiry.
- **Substitute requests and asks.** The request stores the shift, who declined, and whether a cover was found. An ask stores who was contacted and a yes or no. The message text is not stored. No expiry.
- **Send-failure log.** The account, the channel (email or text), and a short reason. It does not store a phone number, an email address, or the message. No expiry.
- **Revoked API keys and connected-assistant grants.** Closing the account revokes them, so they stop working. The erasure does not delete the rows. What is stored is a hash of the secret, not the secret, plus a name and when access was revoked. OAuth grant rows are the same: a hash, not the token. No expiry.
- **Stripe.** The customer and invoices stay at Stripe under Stripe's own retention. Cancelling the subscription does not delete them.
- **Bounced or complained email addresses.** We keep a hash of the address, not the address itself, so we do not keep emailing it. No expiry.
- **Backups.** Cloudflare D1 keeps point-in-time recovery history for up to 30 days, so erased rows age out of that history within 30 days.

## Send a request

Use the form on this page, or email [info@volunteerreminder.com](mailto:info@volunteerreminder.com).

- **Coordinators:** write from the account's login email when you can, and include the organization name. Say whether you only need the account closed (you can also do that in the app) or you want the account and roster erased.
- **Volunteers:** include the phone number or email the reminders use, and the organization name if you know it.

The [Privacy Policy](/privacy) is the longer description of what the service collects. The [Terms of Use](/terms) cover closing an account.
